"We have more people than simulators. Does the event still work?"

Yes. And usually better than you expect. We hear this question on almost every event enquiry. Twelve simulators in the lounge, 40 guests on the list. People do the maths and think it doesn't add up. It does. The number of simulators only tells you how many people drive at the same time. It says nothing about how many guests can join the event.

How an event with more guests than cockpits actually runs

We split the group. Depending on guest count and available simulators, that means two, three or four groups driving their sessions one after the other. Sounds like waiting around? It isn't. While one group is in the cockpits, everyone else follows the race live on the screens.

Who's a lap ahead, who locked up in turn three, who found half a second in the last sector: the whole lounge sees it. Add drinks, food and conversation. The time between your own runs isn't dead time. It's the part of the evening where people actually talk to each other.

The best icebreaker a corporate event can have

You can't switch networking on. But you can put lap times on a screen. After the first session, nobody talks about the weather anymore. It's about the overtake in the chicane, whether the guy from finance was really that quick, and the rematch in the next run. Even guests who aren't driving are right in the middle of it. That's the difference from an event where half the room stands at the bar checking their phones.

Catering that runs on the same clock

Nobody wants a buffet announcement in the middle of a qualifying lap. So we don't schedule catering around the event, we schedule it into the event. Drinks and food are ready when your group rotates out of the cockpit, not when a caterer's timetable says so. The group waiting for their next session eats and drinks while they watch the live leaderboard, not before or after.

Bigger groups, more rotations, longer breaks between your own runs, whatever the format looks like, the catering rhythm bends to match it. Nobody stands around with an empty glass because the plan ends at "somewhere between 7 and 9pm."

A format that builds tension

A typical schedule looks like this:

  • Practice: everyone gets to know the track and the simulator.
  • Qualifying: lap times count for the first time.
  • Race: grid set by qualifying, then it's on.

Depending on the event length, we also run several shorter heats with one big final at the end. Here's the clever bit: after the first phase, we regroup. The quick ones race the other quick ones. Anyone who just sat in a simulator for the first time races people at a similar level. The ambitious hobby racer gets a proper fight and the beginner doesn't get lapped three times. Both get a real race. At the end, a shared final brings the groups back together. Then the podium. Everyone in the same room, everyone with the same story from the night.

What changes with more groups

Straight talk: more groups means more time between your own sessions. We plan for that. Event duration, group size, driving time per session and the surrounding programme are matched so racing and lounge time alternate in a rhythm that works for everyone. 40 guests looks different from 15. That's why we have a short call with you before every event.
